What is a Kenya ground handler — and why do you need one?

A ground handler, also known as a Destination Management Company (DMC), is your in-country operational partner — the expert who manages every element of your clients’ experience from the moment they land at JKIA to the moment they board their departing flight. As a travel agent or tour operator selling Kenya, you bring the client and the booking. We bring the infrastructure, the expertise, the vehicles, the guide network, and the 24/7 on-ground accountability that makes your product actually work.

Logistics in a safari destination are complex: park entry permits, lodge communication, real-time communication, and handling any issues might be tricky. An experienced Kenya DMC eliminates this exposure entirely, giving your clients a seamless experience. You receive accurate vouchers, professional documentation, and a ground partner who is reachable on WhatsApp at 6 am when your client’s vehicle is late — and who resolves it before your client even notices a problem.

Local Authority

Genuine Nairobi-based expertise

Our entire operations team is based in Nairobi. Our guides live in the communities adjacent to the parks. Our lodge relationships are personal — we know the managers by name. You are not dealing with a desk in London routing enquiries to an unknown supplier in Nairobi.

Denki Travels vs direct booking — why your clients need a ground handler

Some clients — and occasionally some agents — question whether using a local DMC adds cost without adding value. The comparison below clarifies why professional ground handling delivers outcomes that direct-to-supplier booking cannot replicate, particularly in a complex, dynamic destination like Kenya.

Kenya destinations we cover — complete ground handling across all safari circuits

Our ground handling network covers every major safari destination, national park, game reserve, and conservancy in Kenya, as well as coastal and urban programmes. We maintain direct operational capacity — vehicles, guides, and lodge relationships — in all primary safari circuits. We are not a booking platform; we are an operator with physical presence and pre-positioned resources across the country.

Our B2B ground handling process — how it works for trade partners

We have designed our trade partner workflow to be as seamless as possible for agents and operators. The process below is how a typical FIT or group booking moves from your initial enquiry through to post-trip invoicing. For repeat partners with established relationships, steps 1 and 2 are compressed into a single communication and quotes can be returned within hours for standard itineraries.

Submit your trade enquiry

Your enquiry reaches our dedicated B2B desk by email or WhatsApp. Include: travel dates, client nationality and group size, safari interests, accommodation grade preference (budget/mid-range/luxury), and any special requirements (dietary, mobility, occasion). The more detail you share at this stage, the faster and more accurate our response.

Receive detailed net rate quote — within 24 hours

Our B2B team prepares a fully itemized quotation in USD. The quote includes: day-by-day itinerary with accommodation names and room types, per-person and per-group net pricing, inclusions/exclusions clearly listed, and alternative accommodation options at different price points. Optional add-ons (balloon safari, cultural visits, fly-in upgrade) are listed separately for upsell flexibility.

Confirm booking with deposit

On your client's acceptance, confirm the booking with a 50% deposit payment by bank transfer or card payment. We send a provisional booking confirmation within 4 hours of deposit receipt, holding all accommodation and transport allocations. The balance is Due at least 7 days before the safari day.

Pre-arrival client file sent to you

7 Days before your client's arrival, we send the complete client travel pack: driver guide name and contact number, lodge confirmation vouchers, detailed daily schedule, emergency contact hierarchy (Denki Travels 24/7 line, packing and health guidance, and our on-the-ground team photo so your client recognizes who to look for at the airport.

In-country experience managed end-to-end

From JKIA arrivals to departure drop-off, our team manages every operational element. Your B2B account manager receives a daily check-in message confirming your client's status. Any issues — vehicle, lodge, health, weather, itinerary change — are communicated to you within 30 minutes of identification and resolved with a proposed solution, not just a problem report.

Post-trip invoice and reconciliation

Within 48 hours of your client's departure, we send the final invoice with any trip amendments reflected. For corporate and group bookings, we provide a full reconciliation report with expense breakdown. All invoices are issued with Denki Travels' official KRA (Kenya Revenue Authority) tax invoice documentation for your accounting records.

B2B net rates & commission structure for Kenya travel agents

Denki Travels operates on a net rate model for all trade partners. This means we quote you the wholesale cost of each service — you add your own markup and present the retail price to your client. We never sell direct to consumers at rates below our trade net pricing, protecting your margin integrity. There are no volume thresholds to access trade pricing — every registered trade partner receives net rates from their very first booking.

Rate card request:

To receive our full B2B rate card including all safari package net pricing, accommodation tariffs, and transfer rates, register as a trade partner using the below email b2b@denkitravels.com. Rate cards are issued within 24 hours of trade registration and updated on 1 January and 1 July each year.

Our credentials, fleet & operational capacity

Trade partners carry reputational risk when they select a ground handler. Your client’s experience is your brand — if the ground experience fails, it is your relationship with that client that suffers, not ours. This is why Denki Travels invests heavily in the three foundations of reliable ground handling: licensed credentials, quality-controlled fleet, and a professionally trained guide and operations team. Below is our current operational capacity, updated for 2025.

Frequently asked questions — Kenya B2B ground handling

Kenya ground handler — also called a Destination Management Company or DMC — is an in-country operational partner that manages all travel logistics within Kenya on behalf of overseas travel agents, tour operators, and OTAs. The distinction from a standard tour operator is that a ground handler works exclusively in the B2B space: we do not sell direct to the public at retail prices. We provide the on-the-ground infrastructure — vehicles, guides, accommodation, permits, and 24/7 operational support — that overseas agents sell to their clients. A Kenya tour operator may sell both retail and wholesale; a dedicated ground handler like Denki Travels operates exclusively as a trade supplier, meaning your client margins are never at risk from us selling direct.

Trade partner registration is straightforward and takes under 5 minutes. Email us at b2b@denkitravels.com or WhatsApp our B2B desk on +254 722 444 445 with: your company name, registration number or business licence reference, your website URL, your primary source markets, and the types of Kenya products you sell or plan to sell (FIT safaris, group tours, corporate, transfers, etc.). We respond within 24 hours with your B2B rate card, standard terms and conditions, and your dedicated account manager's contact details. There is no minimum volume commitment to register — we welcome partners of all sizes, from one-person travel consultancies to large wholesale operators.

Yes — white-label ground handling is available for established trade partners. Under a white-label arrangement, all client-facing documentation — itinerary documents, vouchers, driver name boards, and welcome letters — carries your company's branding, not Denki Travels'. Your clients interact with Denki Travels operationally (our driver, our guide, our lodge) but the commercial relationship remains between you and your client. Our role as the ground handler is invisible. This service is included at no additional cost for partners booking more than 20 packages per year; for lower-volume partners, a small documentation fee applies. White-label agreements include a confidentiality clause confirming Denki Travels will not contact your clients directly or disclose our wholesale involvement.

All trade enquiries receive a detailed quotation within 24 hours — including itemised net rates, a day-by-day itinerary, accommodation options at multiple grade points, and optional add-ons. For standard itineraries (Mara-based packages with established lodges), quotes are frequently returned within 4–6 hours during business hours. Booking confirmation (holding accommodation and transport allocations) is issued within 4 hours of receiving your deposit payment. For last-minute bookings (departure within 7 days), we confirm availability within 2 hours and can issue full confirmations within 24 hours of deposit. Our B2B desk is staffed Monday–Saturday 07:00–20:00 EAT, with emergency on-call coverage overnight and on Sundays via WhatsApp.

Yes — corporate incentive and MICE group handling is one of our specialist services. We have successfully managed groups ranging from 10 to 300+ participants across Kenya's safari circuits. For large groups, we deploy a dedicated event operations manager who is on-site throughout the programme. Our group handling services include: branded welcome kits and name boards, group dining pre-arrangements with menu customisation, parallel vehicle fleet management, optional team activities (Maasai cultural workshops, bush cooking, conservation walks, hot air balloon group bookings), scheduled daily programme briefings, and a dedicated 24/7 WhatsApp group connecting you, your group leader, and our operations team in real time. We recommend a minimum 90-day lead time for groups of 50+ during peak season (July–October) and 60 days for off-peak periods.

Yes — 24/7 emergency support is a core component of our B2B ground handling service, not an add-on. Our duty manager line is available around the clock via WhatsApp and phone for all active client bookings. Typical emergencies we manage include: vehicle breakdown in the park (reserve vehicle dispatched within 60–90 minutes), client medical issue in a remote area (AMREF Flying Doctors coordinated, we have pre-established working protocols), lodge overbooking (alternative equivalent or superior accommodation confirmed before client arrives), flight delay affecting transfer (monitored in real time, driver schedule adjusted automatically), and itinerary amendment requests (processed same-day where operationally possible). Your account manager receives a notification of any issue within 30 minutes — we never allow a ground problem to become a surprise refund request on your end.

All Denki Travels field guides are KWS (Kenya Wildlife Service) certified at Silver level minimum. Senior guides hold Gold certification — the highest level awarded by KWS, requiring extensive field experience, wildlife knowledge examinations, and first aid certification. All guides also hold a valid Tour Guide Certificate from the Kenya Tourism Board and carry the required park authority permits for each reserve in which they operate. Guide profiles (certification level, language capacity, specialist knowledge areas, and years of experience) are available on request for trade partners who wish to highlight guide credentials in their client itinerary documents. We do not use freelance or unvetted guides — all guides are on the Denki Travels payroll or under exclusive retainer agreements.

Our current active trade partner base includes agents and operators from India (our largest and fastest-growing source market), the United Kingdom, the United States, Australia, Germany, Sweden, and Nigeria. Our B2B team communicates fluently in English and Swahili as standard. Hindi-language support is available for Indian trade partners — our B2B account manager for the India market communicates in Hindi and understands the nuances of the Indian travel market, including dietary requirements, Jain considerations, and Indian holiday calendars. French-speaking partners can be directed to our French-speaking account manager. For other languages, we use professional translation support — contact us to discuss your specific requirements.

Yes — East Africa multi-country itinerary management is a growing part of our B2B offering. For Kenya-Tanzania combined safaris, we manage the ground component on both sides of the border through a network of trusted Tanzania DMC partners we have worked with for over five years. We handle the border crossing permits, Tanzanian vehicle permits, and cross-border guide arrangements. For Zanzibar extensions, we coordinate the domestic flight from Nairobi to Zanzibar and arrange ground handling through our Zanzibar partner.

Our standard cancellation and amendment policy for trade partners is as follows: Cancellations more than 60 days before travel: Deposit forfeited; no additional charge. Cancellations 30–60 days before travel: 50% of total booking value charged. Cancellations within 30 days: 75% of total booking value charged. Cancellations within 14 days or no-shows: 100% of total booking value charged. Amendments (date changes, itinerary modifications, passenger number changes) are handled on a case-by-case basis — we apply supplier amendment fees where applicable but absorb administrative costs where no supplier penalty is incurred. We strongly recommend all clients carry comprehensive travel insurance covering cancellation and curtailment. Peak season bookings (July–October) are subject to the cancellation policies of individual lodges, which may be stricter than our standard terms — these are disclosed at the time of quotation.

Special requirements are managed through our pre-trip client briefing process. All requirements declared at booking are logged in the client file and communicated to every supplier in advance: Dietary requirements (vegetarian, vegan, Jain, halal, kosher, nut allergy, gluten intolerance, etc.) are confirmed with each lodge at least 7 days before arrival and followed up 48 hours before. Mobility requirements (wheelchair access, inability to walk long distances, joint problems) are assessed against each lodge's physical layout and we recommend only properties with suitable access. Medical requirements (specific medications needing refrigeration, oxygen needs at altitude, pre-existing conditions) are documented and relevant lodge medical staff notified. For high-risk medical conditions, we recommend direct contact with AMREF Flying Doctors before travel for pre-registration as a precautionary measure — we provide AMREF's contact information to all trade partners whose clients have significant medical history.
